How much does MDM implementation cost?
MDM implementation cost for an enterprise platform usually lands between $300,000 and $3 million in the first year, according to Object Edge, and Centric's 2026 budget guide puts a mid-market year one at $390,000 to $975,000 and an enterprise Informatica year one at $1.5 million to $4 million or more. Much of that is not software: ERP Research notes that for Informatica, implementation services commonly exceed the first-year subscription.
Those ranges are wide because the bill is driven by four things you control: how many data domains you master, how many source systems feed the master, how many downstream systems consume it, and how much of the work is matching and stewardship design rather than platform setup. A pharma company mastering HCP and HCO records from four sources will spend very differently from a manufacturer mastering customers, products and suppliers across three ERPs.
This guide breaks the budget into its line items, shows the only public list price we could find, works through an illustrative HCP master budget for a mid-sized specialty pharma company, and covers the run costs that quotes tend to leave out. It also covers the case where you should not buy an MDM platform at all. If you would rather have the scope priced against your own sources, that is what our master data management services start with.
The published numbers, in one place
What drives master data management cost: the line items
Every MDM quote, whether from a vendor, a systems integrator or a specialist, is built from the same six lines. The published ranges below come from Centric's 2026 enterprise budget guide and Binmile's MDM cost guide. Treat them as the market's own framing, not as a quote.
| Line item | Published range | Source | What moves it |
|---|---|---|---|
| Platform licence, enterprise tier (Informatica, Stibo, Reltio) | $250K to $1M+ a year | Centric, 2026 | Record volume, domains, environments, support tier |
| Platform licence, mid-market tier (Profisee, Semarchy) | $75K to $250K a year | Centric, 2026 | Record volume and edition |
| Implementation services, specialist firm | $150K to $750K per engagement | Centric, 2026 | Number of domains, match rule complexity, stewardship design |
| Implementation services, Big 4 | $500K to $3M per engagement | Centric, 2026 | Scope, governance programme, change management |
| Source integrations | $50K to $200K per integration point | Centric, 2026 | Real time versus batch, API quality of each source |
| Data migration and quality | $50K to $250K | Centric, 2026; Binmile | Duplicate rates, missing identifiers, history to load |
| Training and change management | $20K to $100K | Binmile | Number of stewards and business users |
| Ongoing support | $30K to $150K a year | Binmile | Support tier, internal team size |
Two things stand out. First, integrations scale linearly: every extra source adds design, testing and a feed to maintain, so five sources cost far more than two. Second, the services lines are where scope decisions show up. Match rules, survivorship rules and stewardship workflows are designed by people, and that design time is what separates a $150,000 engagement from a $750,000 one. If you want to understand what that design work involves, read our guides on types of matching in MDM and survivorship and the golden record.
MDM pricing by platform: what each vendor publishes
Informatica
Informatica does not publish MDM list prices. ERP Research describes its pricing as consumption or subscription based and quote driven, with typical MDM deals in the $200,000 to $2 million+ band, driven by data volume, named users and support tier. Informatica's cloud MDM runs on its Intelligent Data Management Cloud, and Salesforce completed its acquisition of Informatica in November 2025, which is worth raising at renewal if Salesforce is central to your estate.
Reltio
Reltio is the one enterprise vendor with a public list price. On AWS Marketplace, each Reltio Data Cloud industry edition (B2B, B2C, Life Sciences, Healthcare, Financial Services, Insurance) is listed at $15,600 per month, with 12, 24 and 36 month terms available. The listing does not define what one unit covers, so you still need a scoped quote to know how your profile volume maps to units.
Profisee
Profisee prices on data volume rather than users or domains. Its pricing page lists two editions, Application (reference data management, including migration from Microsoft MDS) and Enterprise (full match, merge and golden record), with unlimited domains and attributes and bulk pricing. It publishes no dollar figures, and it can be bought through Microsoft Marketplace.
Veeva Network
Veeva Network is Veeva's MDM for life sciences, natively integrated with Vault CRM and Veeva OpenData. Neither Network nor OpenData has public pricing, and both are subscriptions. For HCP and HCO mastering, the reference data subscription is a separate line from the MDM platform, whether you buy OpenData or IQVIA OneKey.
Worked example: an HCP and HCO master for a mid-sized specialty pharma company
Here is how the published ranges add up for a realistic life sciences scope. The company is a mid-sized specialty pharma business with one launched brand. It needs a single HCP and HCO master fed by four sources: its CRM, a specialty pharmacy data feed, hub services data and an HCP reference data subscription. The master feeds CRM, the commercial warehouse and incentive reporting. This is arithmetic on the sources named above, not a quote from us or any vendor.
| Line | Low | High | Basis |
|---|---|---|---|
| Platform, one Reltio Life Sciences edition at list for 12 months | $187,200 | $187,200 | $15,600 x 12, AWS Marketplace list; unit coverage unconfirmed |
| Implementation services, specialist firm | $150,000 | $750,000 | Centric, 2026 |
| Data migration and quality | $50,000 | $250,000 | Centric, 2026 |
| Training | $20,000 | $50,000 | Binmile, basic tier |
| Year one, integrations inside the services scope | $407,200 | $1,237,200 | |
| Four integrations priced separately at $50K to $200K each | $200,000 | $800,000 | Centric, 2026 |
| Year one, integrations priced separately | $607,200 | $2,037,200 |
Three lessons come out of the arithmetic. The platform is the most predictable line and the smallest lever. The services and integration lines swing by a factor of four or five, and they swing on decisions you make before signing: how many sources go into phase one, whether every feed has to be real time, and how many match rules you need before go-live. And the reference data subscription, whether Veeva OpenData or IQVIA OneKey, is not in the table at all because neither vendor publishes a price. Ask for it in the same procurement cycle so it does not arrive as a surprise.
Cut the same scope to two sources in phase one (CRM and reference data), batch feeds only, and the integration line halves while the master is still useful from day one. The other two sources join in phase two, once stewards have learned the match patterns.
Hidden MDM costs that quotes leave out
Stewardship headcount
Every MDM produces matches too close to call automatically. Someone has to review them every week, and that person's time is a permanent cost that no licence quote includes.
- Size the queue from real match results
- Budget steward hours, not just tools
Reference data subscriptions
In pharma, HCP and HCO masters are validated against a reference source such as OpenData or OneKey. That subscription is a separate contract with its own renewal.
- Quote based, not public
- Renews on its own cycle
Match tuning after go-live
Match rules drift as sources change formats or new data arrives. Plan for periodic re-testing against labelled samples, or false merges creep back in.
- Re-test after every new source
- Track false and missed match rates
Downstream changes
CRM, ERP and the warehouse have to accept golden record IDs and cross-references. Those changes are often scoped by a different team and missed from the MDM budget.
- Ask each consuming team for an estimate
- Include cross-reference tables
Volume growth at renewal
Volume-priced platforms cost more as records grow. Adding a new brand, a new country or patient-level data can move you into a higher tier.
- Model three years of record growth
- Negotiate volume bands up front
Consumption overruns
Consumption-based pricing, as ERP Research describes for Informatica, means heavy reprocessing or AI matching runs can use credits faster than planned.
- Set alerts on consumption
- Agree overage rates before signing
When not to buy an MDM platform
The cheapest MDM implementation is the one you do not need yet. A platform earns its cost when several of these are true: many systems create or change the same records, records must be mastered in near real time, several downstream systems need the same golden record, you need a stewardship interface with audit trail for compliance, and hierarchies or affiliations matter as much as the records themselves.
If you have three or four sources, an overnight cadence and one main consumer, a well-built master inside your existing warehouse is often the better first step. You keep the platform licence line at zero, pay only for the compute you already run, and still get documented match rules and a review queue. The rules travel with you if you move to a platform later, so the design work is not wasted. In pharma, an HCP master can start as tables, match logic and a steward review queue in Snowflake, Databricks or Microsoft Fabric, sitting inside a pharma commercial data warehouse rather than beside it.
The warning sign for the warehouse route is stewardship. If business users need to approve merges, request new records or see a change history, a spreadsheet-based review queue will not hold for long, and that is usually the point where a platform starts paying for itself.
How to build an MDM budget that survives procurement
Profile the sources first
Measure duplicate rates, missing identifiers (NPI, DEA, tax ID) and record counts in each source. Volume drives licence price and quality drives migration cost, so you cannot price either without this.
Fix the phase one scope
Pick one domain, the two or three sources that matter most and the one consumer that will use the golden record first. Write it down before talking to vendors.
Price the platform on your volume
Give every vendor the same record counts and growth forecast, and ask for three-year pricing with volume bands and overage rates in writing.
Price services by deliverable
Ask for match rules tested on a labelled sample, documented survivorship per attribute, stewardship workflows and each integration as separate deliverables. Hourly estimates hide scope.
Add the run costs
Steward hours, reference data, support, match re-testing and downstream changes. These are the lines that turn a reasonable year one into an expensive year three.
Tie it to a business number
Rework hours saved, duplicate mailings or calls avoided, reporting cycles shortened. If you cannot name one, the project is not ready to fund.
Big 4, specialist or in-house: who should implement it?
Centric's 2026 guide puts Big 4 rates at $300 to $500 an hour with engagements of $500,000 to $3 million, and specialist MDM consultancies at $175 to $300 an hour with engagements of $150,000 to $750,000. The Big 4 bring governance programmes and change management at scale, which matters when MDM is part of a group-wide transformation. Specialists are usually the better fit when the problem is narrower and technical: a customer or HCP master, a fixed set of sources and a clear consumer.
An in-house build only works if you already have engineers who have written match and survivorship logic before. The platform will let anyone configure rules. Knowing which rules produce false merges on your data is the skill you are paying for.
Whichever route you take, the business case usually rests on the cost of not doing it. Gartner's 2020 research put the average cost of poor data quality at $12.9 million a year per organisation. Your own number will be smaller and more convincing: count the hours your team spends reconciling records by hand each reporting cycle. In one specialty therapy engagement, building clean identifiers and an MDM structure cut that manual work by 60 to 80 percent.
