Who this checklist is for
This delegation checklist is for owners, managers and team leads in a growing business. It works the same for a shop, a clinic, a factory, an agency or a distributor. Delegation rarely fails because the team is weak. It fails because the task was handed over in one rushed sentence, checked only at the end, and then quietly taken back and redone at night.
Use it the next time you hand over a task, and go through it with your managers once. The first items take a minute each and fix most handovers. The later ones are small habits that make every repeat task easier to hand over.
The 15 things, and why each one matters
Say the finish line
Describe what done looks like before they start: the file, the format, who gets it. Most redone work was finished well, just to a different picture.
Show one example
Share one past job done the way you want it. One example explains more than ten minutes of instructions.
Give a real deadline
Give a date and a time, never when you can. A vague deadline becomes the last task of the week.
Ask them to repeat it
Have them say the task back in their own words. Gaps show up in thirty seconds instead of three days.
Write it down
Send the brief on WhatsApp or email right after you say it. Both of you can check it later, and nobody argues about what was asked.
One owner per task
Put one name on each task, never the team. When everyone owns it, nobody does.
Set a spend limit
Tell them what they can approve or spend without asking you. Without a limit, every small decision comes back to your phone.
See the first draft
Look at the work early, when it is a draft. A wrong turn caught on day one costs minutes; caught at the end, it costs the whole task.
Don't take it back
When the work is not right, coach the fix and hand it back. If you redo it yourself, they learn the task will always return to you.
Ask, don't tell
When they bring you a problem, ask what they would do before you answer. They start bringing answers instead of questions.
Make it a checklist
Turn every task that repeats into a short checklist of about five steps. The next handover takes one message.
Record it once
Record your screen once while you do the task and talk through it. Every new person can watch it instead of asking you.
One task tracker
Keep every handed-over task in one shared sheet or task board with owner, deadline and status. Tasks spread across chats get lost.
Monday 15-minute review
Go through every open task each Monday in fifteen minutes. Late tasks show up early, and you stop checking in all week.
Credit in public
Thank the person in front of the team when the task goes well. People take on more when their work is seen.
