A late payment checklist for owners: 8 steps to take when a client's invoice is 60 days overdue, and the one that usually gets it paid.

Who this checklist is for

This late payment checklist is for owners, accountants and accounts teams who are looking at an invoice that should have been paid weeks ago. The client is friendly, the work was done, and every message gets the same answer: next week. Meanwhile your own bills, salaries and suppliers do not wait.

Work through these eight steps in order the day an invoice crosses its due date by a month or more. The first ones remove every excuse for not paying. The last one is the step that most often gets the money moving. For the habits that stop invoices going late in the first place, see our payment follow-up checklist and payment reminder automation.

The 8 steps, and why each one matters

Resend the invoice with a pay link

Send the invoice again as a fresh message with a payment link from Razorpay, Stripe or your bank. It removes the easiest excuse, that they cannot find it, and makes paying one tap.

Check they got the right invoice

Many invoices sit unpaid because of a wrong company name, a missing PO number or wrong tax details, and nobody tells you. Ask plainly whether anything on it needs correcting.

Call, don't just send WhatsApps

Messages are easy to read and ignore. A short, polite call gets a real answer and shows you are keeping track of this invoice.

Get a date, not 'next week'

End every conversation with a specific date and amount. 'Next week' cannot be followed up; 'Thursday, the full amount' can.

Put every promise in writing

After each call, send a two-line email or message confirming the date and amount they gave. It keeps everyone honest and gives you a record if it goes further.

Pause new work until it clears

Politely hold new orders or new work until the overdue amount is settled. It protects you from a bigger unpaid balance and usually moves the payment up their list.

Set auto reminders for every invoice

Reminders before the due date, on it and after it stop most invoices from ever reaching 60 days. A system can send them on WhatsApp and email and stop the moment the payment lands.

Find who actually approves payment

The step that usually works. The person you chase is often not the one who releases money. Ask who signs off payments in their accounts team, and send the invoice and the agreed date to that person directly.

Questions about late payments

What should I do when a client doesn't pay an invoice?
Resend the invoice with a payment link, check nothing on it is wrong, then call and agree a specific date and amount. Confirm it in writing and find out who in their team actually approves payments.
How do I ask for a late payment without sounding rude?
Keep it short and factual: the invoice number, the amount, the original due date and a simple question about when it will be paid. Friendly and specific works better than long apologies or threats.
Should I stop work for a client who pays late?
For a large overdue amount, politely pausing new work until it is settled is reasonable and common. Tell the client in writing, and restart as soon as the payment arrives.
