Who this checklist is for
This owner holiday checklist is for owners who take a break and still spend it on the phone. It works the same for a shop, a clinic, a factory, an agency or a distributor. Most of the calls you get on holiday are not emergencies. They are a payment nobody else can approve, a password only you know, or a decision nobody was told they could make.
Use it two weeks before your next holiday, or hand it to the person who will run things while you are away. The early items take minutes. The later ones take a little longer, and they are the ones that let you actually switch off.
The 15 things, and why each one matters
Tell everyone early
Share your dates with the team two weeks ahead. People sort out what needs you before you leave, instead of saving it for a call.
Out-of-office reply
Set it on email and as a WhatsApp Business away message, naming who to contact instead. Customers get an answer, not silence.
One named deputy
Pick one person who decides while you are away and tell the whole team. Two half-deputies means every question still comes to you.
Spending limit
Let your deputy approve spending up to a fixed amount without asking. Anything above it can wait or comes to you once a day.
Second bank signatory
Add a second approver for payments on your bank account well before you go, since banks can take time to set it up. Salaries and suppliers should not wait for you.
Pay bills early
Clear rent, taxes, salaries and regular supplier bills before you leave. Check the due dates that fall inside your holiday.
Shared password vault
Put every business login in a password manager the deputy can open. No login should live only in your head or your phone.
Move your OTPs
Bank, tax portal and payment gateway OTPs often go to the owner's phone. Move them to an office number, or the team stops at the first login.
Key client list
Write down your top ten clients, their number and who on the team looks after each. A client who only knows you will call you.
Order ahead
Place two weeks of regular stock and material orders before you go. Running out mid-holiday almost always ends in a call to you.
Call-me-only-if list
Write the three things worth calling you for, such as a safety issue or a large client leaving. Everything else goes to the deputy.
Daily 5-line update
Ask for one message at 7 PM with sales, cash, orders, issues and one note. You know things are fine without asking.
One check-in slot
Pick 15 minutes a day at the same time to read the update and answer anything waiting. Outside that slot, the phone stays off.
Write your weekly jobs
List every task only you do in a normal week, with how to do it or who covers it. This is the list most owners have never written.
Test run first
Stay fully off for one working day before you leave and note every question that reaches you. Fix those gaps, and the real holiday stays quiet.
