Who this prompt is for
This team chat prompt is for owners and operations heads who run the day on a WhatsApp group. Tasks get agreed in the chat, a few replies later they scroll out of sight, and by the next meeting nobody is sure who said they would do what. The prompt turns a day of messages into a short task list with an owner and a due date for each item, plus the questions nobody answered.
Use it at the end of the day, before a weekly review, or when you come back from a day away and find hundreds of unread messages. Copy the prompt below into ChatGPT or Gemini, paste the exported chat under it, and read the table it gives back.
The prompt:
- You are my operations assistant. Below is today's chat from my team group.
- List every task someone agreed to do.
- For each one: the task, who owns it, and the due date. If none, write "no date".
- Then list questions nobody answered.
- Use a short table. Do not invent anything.

Each line of the prompt, and why it is there
You are my operations assistant.
Giving the AI a role keeps the answer practical and short, the way an assistant would report back to you, instead of a long essay about the chat.
Below is today's chat from my team group.
This tells the AI what it is reading and that it covers one day. Paste one day or one week at a time so the list stays useful and nothing gets cut off.
List every task someone agreed to do.
The word agreed matters: it picks out the replies like "will do" and "ok, I'll send it" rather than every idea mentioned. Check the list against two or three tasks you remember.
For each one: the task, who owns it,
A task without a name is a task nobody does. If the owner column shows a blank, that is the first thing to sort out with the team.
and the due date. If none, write "no date".
Writing "no date" makes the missing deadlines easy to spot instead of hiding them. Give each of those a date before the day ends.
Then list questions nobody answered.
Unanswered questions are where customers wait and work stalls. This line usually saves the most time, because these are the ones that never come back up on their own.
Use a short table. Do not invent anything.
A table is easy to copy into a sheet or send back to the group. Asking it not to invent anything keeps the AI to what was actually written in the chat.
Chat: [paste the exported chat]
In WhatsApp, open the group, tap the group name, choose Export chat and pick Without media. Open the text file, copy the part you need and paste it here.
