Who this checklist is for
This WhatsApp Business checklist is for owners, sales heads and front desks whose customers enquire, order and pay on WhatsApp. If enquiries come in all day and some of them still go quiet, the reason is usually one of the mistakes below, not the product or the price.
Go through it once with the phone in your hand. The first items take minutes to fix inside the WhatsApp Business app. The later ones are about how the team works and where the order data lives, and they are where most lost customers come from.
The 20 mistakes, and how to check each one
No greeting message set
A new customer who gets an instant greeting knows they reached the right place. Turn it on under Business tools, Greeting message, and include what you sell and how fast you reply.
No away message after hours
An evening enquiry with no reply looks like a closed business. Set an away message for outside business hours that says when you will reply and what to send in the meantime.
Business hours left blank
Customers check your profile before they message. Fill in hours, address, website and email in the business profile so the basic questions answer themselves.
Empty product catalogue
Without a catalogue every customer asks for photos and prices one by one. Add your main products with a photo, price and short description so you can share an item in one tap.
No quick replies saved
Typing the same answers all day is slow and inconsistent. Save quick replies for prices, delivery areas, payment details and directions, and use them with a slash shortcut.
Chats never labelled
Without labels you cannot tell a new lead from a paid order at a glance. Use labels such as New lead, Quote sent, Order placed and Paid, and keep them up to date.
Prices sent as voice notes
A price in a voice note cannot be searched, forwarded or checked later. Send prices and quotes as text or a PDF so the customer can read them and share them with whoever decides.
Blurry photos of price lists
A phone photo of a printed list is hard to read and looks careless. Keep a clean PDF price list or catalogue items ready to send instead.
No click-to-chat link anywhere
Customers who cannot find your number go elsewhere. Put a wa.me click-to-chat link on your website, Instagram bio, Google Business Profile and email signature.
Replying the next morning
An enquiry is warmest in the first few minutes, and by the next morning the customer has often asked someone else. Check how long your replies actually take and set a target the team can meet.
Quotes with no follow-up
Many quotes get no reply simply because the customer got busy. Keep a list of quotes sent and follow up on a fixed day, politely, with one clear next step.
No payment link in chat
Asking a customer to find your bank details adds friction at the moment they want to pay. Send a payment link with the exact amount so they can pay in a couple of taps.
Same copy-paste to everyone
A generic message reads like spam. Use the customer's name and refer to what they asked about, even when the rest of the message comes from a template.
Broadcasts nobody opted into
Sending offers to people who never asked for them leads to blocks and reports, which can restrict your number. Message only customers who agreed to hear from you, and make it easy to stop.
Orders lost in the scroll
When orders arrive as messages, they get buried under new chats. Pin or label every open order, or better, move order details out of the chat into one list.
Orders never logged anywhere
If an order only exists in a chat, nobody else can see it, count it or plan for it. Log every order in a sheet or your order system with the customer, items, amount and status.
One phone, whole team
A single phone passed around the office means slow replies and no record of who said what. Use a setup where several people can answer from one number with chats assigned to each person.
Personal number as business line
Mixing personal and customer chats makes both harder to manage, and the business depends on one person's phone. Move customers to a dedicated WhatsApp Business number owned by the company.
Chats leave when staff leave
When customer conversations live on an employee's phone, they walk out with that person. Keep customer chats on company-owned numbers and log key details in a shared system.
No backup of chat history
A lost or reset phone can take months of orders and promises with it. Turn on chat backup and keep important order details in a system outside WhatsApp as well.
