Why a missed call is a missed customer
A missed call auto reply is the simplest way to stop losing customers who ring while you are busy. The owner is with a customer, the counter is full, the team is on site, and the phone rings out. The caller does not leave a voicemail and does not wait. They ring the next number on Google, and that business gets the job.
Every kind of business loses calls this way: the shop, the clinic, the agency, the workshop and the distributor. The missed calls sit in the call log on someone's phone. Nobody knows which ones were customers, which ones were called back, and which ones were simply forgotten by the evening.
This system answers every missed call within seconds, on WhatsApp or by text, with the things callers usually want: your prices or menu, your hours, and a link to book a callback or a visit. If they reply, an AI model answers from your own facts. Every caller lands on one list, and the ready buyers go straight to a person on your team.

What gets automated
A reply in seconds
Every missed call on your business line triggers a WhatsApp message, or a text where WhatsApp is not possible, while the caller still has their phone in hand.
- Day and night
- During busy hours
- Weekends and holidays
The answers callers want
The first message carries your prices or menu, your hours and location, and a link to book a callback or a visit.
- Prices or menu
- Hours and location
- Booking link
Replies from your own facts
If the caller writes back, an AI model answers from your price list and FAQ only, in your tone, and hands over to a person when it is not sure.
- Your facts only
- No made-up prices
- Hands over when unsure
Every caller on one list
Number, time, reply and status go into Google Sheets, Zoho or HubSpot, so missed calls stop living in one phone's call log.
- New or returning
- Replied or silent
- Who owns it
Ready buyers to a person
When a caller wants to buy, book or talk, the right person gets an alert on WhatsApp or email with the chat so far.
- Instant alert
- Chat attached
- Call them first
A daily call back list
Callers who never replied go on a short list for your team, so every missed call gets a human call back the same day.
- Nothing forgotten
- Same-day call backs
- Done ticks
How the workflow runs
Cloud phone: a call is missed
Your business number runs on a cloud phone system such as Exotel, MyOperator, Twilio or RingCentral, which reports every unanswered call with the caller's number and time.
Google Sheets or CRM: the caller is checked
The number is looked up in Google Sheets, Zoho or HubSpot. New callers get a row; existing customers are marked so the reply can greet them properly.
WhatsApp or SMS: the reply goes out
Within seconds the caller gets an approved WhatsApp template through a provider such as WATI or Twilio, or a text message, with your prices, hours and a booking link.
AI model: replies are answered
If the caller writes back, ChatGPT or Claude answers from your price list and FAQ, asks what they need and when, and hands over when it is not sure.
If: is the caller ready?
Callers who want to buy, book or talk are sent to the right person on WhatsApp or Gmail with the chat, so they are called back first.
Call back list and owner view
Silent callers go on a daily call back list. The owner sees missed calls, replies, bookings and call backs in one sheet.
Who it is for
What you need to start
You need a business number that can report missed calls to other tools. A cloud phone system such as Exotel or MyOperator in India, or Twilio or RingCentral in the US, does this; many businesses forward their existing number to it. For WhatsApp replies you need a number on the WhatsApp Business API through a provider such as WATI or Twilio. The free WhatsApp Business app on a phone cannot be connected to other tools.
The first WhatsApp message to a caller is a template approved by Meta, and WhatsApp has opt-in rules for business messages, so we set the reply up within those rules and fall back to a text message where WhatsApp is not the right channel. You keep Google Sheets, Zoho or HubSpot for the caller list and Gmail or Outlook for alerts. The workflow itself is built on n8n, Make or Zapier, with ChatGPT or Claude answering replies.
The most important input is your own knowledge: your price list or price ranges, your hours, a short FAQ and who should get which callers. A typical build, tested on real calls before it goes live, runs over a few weeks, and the messages are tuned as real callers reply.
