Why vehicle service reminders still slip at most dealerships
Vehicle service reminders decide whether a car comes back to your workshop or goes to the garage down the road. Every car you sell has a service due by date or by kilometres, and every one of those visits is work for your bays, parts sales and a chance to keep the customer for the next car. In many growing dealerships the reminder is still one service advisor with an Excel export from the dealer software and a phone.
The list is long and the calls go unanswered. An owner says maybe next week, another asks which car you mean, a third has moved city and nobody updated the number. Bookings get written into a diary or a calendar if someone remembers, no-shows are found out when the bay is already empty, and the free services that should bring the customer back quietly expire.
This workflow reads the service due list every morning, sends each owner a WhatsApp reminder with open slots, reads the reply with an AI model, books the slot in your workshop calendar with a reminder the day before, and hands the owners who stay silent to a service advisor as a short call list. Your advisors talk to the customers who need a person. The routine reminding runs on its own.

What gets automated
Due cars picked up every morning
Cars due for a service by date or by kilometres are read from your dealer software export, Excel or Google Sheets, with the owner, car and service type.
- Free and paid services
- Due by date or km
- Overdue cars included
Owners reminded on WhatsApp
Each owner gets a short WhatsApp message naming their car and the service due, with a few open slots to choose from.

- Polite repeat if silent
Replies read and slots booked
Replies such as Saturday morning works or can I come after 5 are read by an AI model and turned into a booking in the workshop calendar.
- Free text understood
- Bay capacity respected
- Booking confirmed back
Day-before reminders
Every booked owner gets a reminder the day before with the time and address, and can move the slot by replying.
- Fewer no-shows
- Easy rescheduling
- Front desk sees changes
Silent owners sent to an advisor
Owners who do not reply after two reminders go on a short call list for a service advisor, with the car and past messages ready.
- Short daily call list
- History in one place
- Wrong numbers flagged
Bookings on one screen
Cars due, booked, reminded and lost show on one dashboard for the workshop manager and the owner, by week and by advisor.
- Due vs booked
- No-shows this week
- Lapsed customers

Who it is for
What you need to start
You keep the tools you already use: the dealer management software or job card system your workshop runs on, or the Excel and Google Sheets files your service team keeps. Reminders go out from a WhatsApp Business number, bookings land in Google Calendar or Outlook, and the workflow sits between them, built on tools such as n8n or Make with an AI model to read the replies.
The data is what you already have: each customer's name and mobile number, the car and registration number, the last service date and kilometres, and the next service due. Your daily bay capacity tells the workflow how many slots to offer. If the customer list has gaps, cleaning it is the first part of the build.
A first version that reads the due list, sends reminders and books replies for a person to check usually takes a couple of weeks. Day-before reminders, the advisor call list and the dashboard follow once the team trusts the bookings.
