Why meetings end and nothing happens
Turning meeting notes to action items is the part of every meeting that quietly gets skipped. The meeting goes well. Six things are agreed: a quote to revise, a supplier to call, a hire to post, a report to fix. Everyone nods, everyone leaves, and the notes stay in one person's notebook, a Zoom recording nobody watches, or a WhatsApp voice note.
A week later the same people sit in the same room. Two of the six things got done. Nobody is sure who said they would do the rest, or by when. The owner ends up chasing each person one by one, or the same topics come back again next week.
This system closes that gap. After every meeting, the notes or the recording are turned into a short list of tasks, each with one owner and one due date. Each person gets their own tasks on WhatsApp or email, a reminder arrives the day before each one is due, and the owner sees one list of what is done and what is late. For a simpler start with your team chat, see our WhatsApp group task list prompt.
What gets automated
Notes from any meeting
Transcripts from Zoom, Google Meet or Microsoft Teams, typed notes in Google Docs or Word, or a WhatsApp voice note after an in-person meeting are all picked up the same way.
- Online meetings
- In-person meetings
- Voice notes
Tasks pulled out by AI
An AI model reads the notes and lists only what was agreed: the task, who said they would do it and the date mentioned, in plain words.
- Task
- Owner
- Due date
Missing owners flagged
A task with no clear owner or no date is not guessed. It is flagged to the person who ran the meeting to fill in.
- No guessing
- One question back
- Fixed in a tap
Each person gets their own list
Every person receives only their own tasks on WhatsApp or email, with the meeting name, so nobody has to dig through long minutes.
- Gmail or Outlook
- Meeting named
A reminder the day before
A short reminder goes out the day before each task is due. People reply done, or ask for a new date, and the list updates itself.
- Day-before nudge
- Reply done
- New date logged
One list for the owner
Every task from every meeting sits in one Google Sheets, Excel or Notion list, with late ones on top before the next meeting starts.
- Done
- Due soon
- Late
How the workflow runs
Zoom, Meet, Teams or WhatsApp: the meeting ends
The transcript from the meeting tool, a shared notes document or a voice note sent to a WhatsApp number (through a provider such as WATI or Twilio) is picked up as soon as it is ready.
AI model: tasks pulled out
ChatGPT or Claude reads the notes and returns each agreed task with its owner and due date, matched to your team list so names are spelled the same way every time.
If: owner and date clear?
Clear tasks move on. Tasks with no owner or no date go back to the person who ran the meeting with one short question.
Google Sheets, Excel or Notion: the task list updates
Each task becomes a row with the meeting, owner, due date and status, so every meeting's tasks live in one place.
WhatsApp or Gmail: tasks sent
Each person gets their own tasks in one message, with the meeting name and the due dates.
Schedule: reminders and a late list
Every morning the list is checked. A reminder goes out the day before a task is due, and anything late is sent to the owner before the next meeting.
Who it is for
What you need to start
You need the tools you already meet in. Zoom, Google Meet and Microsoft Teams can all save a transcript on most paid plans; for in-person meetings, typed notes or a voice note recorded on the phone work just as well. Tasks are sent through WhatsApp (a WhatsApp Business API number through a provider such as WATI or Twilio) or Gmail and Outlook, and the task list lives in Google Sheets, Excel or Notion. The workflow is built on n8n, Make or Zapier, with ChatGPT or Claude reading the notes.
The inputs that matter are yours: a list of your team with their WhatsApp numbers and emails, the meetings you want covered, and how you want reminders to sound. Meeting notes can hold private details, so we agree which meetings are included and who can see the full list.
A typical build runs over a few weeks: it is set up on one regular meeting first, the task lists are checked against what people remember agreeing, and the wording is tuned before more meetings are added.
