01

Lead generation built for a small team

Lead generation for small business has a different problem from lead generation at a large company. Large firms have a marketing department, a sales development team and someone who owns the CRM. A small business usually has an owner, one or two salespeople and an inbox where enquiries wait until someone has a free hour. More leads do not help much if the ones you already get are answered tomorrow.

So we run it as one service with two halves. Inbound makes sure the people already looking for you (through your website, Google Business Profile and ads) get a fast, useful reply. Outbound finds the businesses that fit your ideal customer and starts conversations with them, by email and by hand on LinkedIn. AI does the research and first drafts on both sides. People handle every reply and every booked conversation.

Greenwolf Tech Labs is a consulting and technology firm in automation, analytics and AI, with offices in India and the USA and clients worldwide. If you sell to larger companies and need a full programme, our B2B lead generation page covers that. This page is for smaller teams that need steady, qualified conversations without hiring a sales development department.

02

The inbound half: answer faster than anyone else

  • Forms that capture what sales needs

Website forms rebuilt to ask the few questions that tell you whether a lead fits, then send it straight to your CRM rather than a shared inbox.

    • Short forms, the right fields
    • Spam filtered out
    • Every lead logged in the CRM
  • Google Business Profile

A complete, active profile with accurate categories, services, photos and weekly posts, because for many local searches it is the first thing a buyer sees.

    • Categories and services set
    • Weekly updates
    • Reviews asked for, never bought
  • Search and social ads

Small, tightly targeted Google Ads and Meta campaigns aimed at buying-intent searches, with conversions tracked back to real enquiries.

    • Intent keywords only
    • Conversion tracking to CRM
    • Budget reviewed monthly
  • Speed to lead

Every new enquiry gets an instant, relevant acknowledgement and is assigned to a person with a reminder, so no lead waits for hours.

    • Instant tailored reply
    • Owner assigned automatically
    • Follow-up reminders until handled

03

The outbound half: reach the right businesses first

  • List building

Target companies and contacts found from public sources and data providers, filtered against your ideal customer profile before anyone is contacted.

    • Industry, size and location filters
    • Named roles, not generic inboxes
    • Suppression of existing customers
  • Enrichment and research

AI researches each company (recent news, services, hiring, tech used) and adds a short note on why it might need you.

    • Verified email addresses
    • One-line relevance note
    • Data sources recorded
  • Compliant cold email

Separate sending domains, proper authentication, slow warm-up and short, relevant emails drafted by AI and edited by a person.

    • SPF, DKIM and DMARC set up
    • Opt-out in every email
    • Volumes kept modest
  • LinkedIn, by hand

We draft connection notes and messages, and a person on your team sends them. We never connect bots or automation tools to a LinkedIn account.

    • Drafts ready each morning
    • A person sends and replies
    • No account automation

Where AI lead generation helps, and where it stops

AI lead generation is useful for the slow, repetitive parts: reading a company's website and summarising what it does, checking it against your criteria, finding the right contact, and drafting a first message that mentions something specific. Salesforce's State of Sales 2026, a survey of 4,050 sales professionals in 22 countries, found that sellers expect AI agents to cut prospect research time by 34% and email drafting time by 36%. The same survey found sellers spend only 40% of their week actually selling, which is the time these tools should give back.

Where AI stops is the conversation. When a prospect replies, a person reads it and answers. When a meeting is booked, a person runs it. AI can suggest a reply or flag an urgent one, but it does not negotiate, promise or handle objections on your behalf. That keeps the quality of first conversations high, and it keeps your reputation in your own hands.

A list building example from our case studies: for a sourcing and supplier quality consultancy we built two tools that find candidate suppliers and apply the client's screening rules automatically. It cut the time spent on supplier scouting by 85% and the cost by 91%. Finding and screening prospects for outbound follows the same pattern, with your ideal customer profile as the rulebook.

05

Appointment setting without the shortcuts

Appointment setting is where many lead generation services cut corners, so we are specific about how ours works. Qualified replies are passed to a person on your team, or answered by ours under your rules, with a calendar link set to your availability. The meeting lands in your calendar and the CRM record is updated. If a lead goes quiet, a short sequence of human-reviewed follow-ups runs before the contact is closed out.

Before a meeting is booked, the lead is checked against the qualification questions you set. Our lead qualification service covers scoring and routing in more depth, which matters once inbound volume grows beyond what one person can sort by eye.

We do not use AI voices to cold call. The FCC's Declaratory Ruling of February 8, 2024 treats AI-generated voices as artificial voices under the Telephone Consumer Protection Act. That means any such call to a mobile or home number needs the person's prior express consent, and a sales call needs that consent in writing. We use AI voice only for inbound calls, instant callbacks to people who asked to be contacted, and reminders.

The rules every small business outreach must follow

  • CAN-SPAM. The FTC's compliance guide requires accurate header information, subject lines that are not deceptive, identification of the message as an ad, a valid physical postal address and a clear way to opt out, honored within 10 business days. There is no exemption for business-to-business email, and you are responsible for anyone sending on your behalf. Penalties can reach $53,088 for each email that violates the law.
  • Gmail and Yahoo sender rules. From February 1, 2024, anyone emailing Gmail users must have SPF or DKIM, valid forward and reverse DNS, TLS and a spam rate under 0.3% in Postmaster Tools. Senders of more than 5,000 messages a day also need SPF, DKIM and DMARC with an aligned From domain, one-click unsubscribe and, ideally, a spam rate below 0.10%. Yahoo's rules match, with one-click unsubscribes honored within two days.
  • TCPA. Autodialed or prerecorded and artificial-voice telemarketing calls and texts to cell phones need prior express written consent. Damages are reported at $500 per violation and up to $1,500 if willful, and consumers are reported to be able to revoke consent by any reasonable means from April 11, 2025.
  • LinkedIn. LinkedIn's help center says it does not permit bots or tools that scrape or automate activity, and accounts that use them risk restriction. That is why LinkedIn stays manual.

This is not legal advice. If you sell into regulated industries or other countries, check your outreach plan with your own counsel.

07

What does a lead cost?

It depends heavily on your industry and channel. Sopro's B2B cost-per-lead benchmarks put the average at around $198 to $200 per lead, rising to about $650 in legal services and just under $600 in software development, with IT and managed services at $501 and SaaS at about $188. By channel, Sopro lists SEO and content at $35, email at $42, paid search at $116 and paid LinkedIn at $152 per lead. Sopro notes that benchmarks vary widely between sources, and we treat them as a rough guide rather than a target.

The number we track with you is cost per qualified conversation, measured from your own CRM. We quote our service at a fixed monthly fee after a free review of your market, current lead flow and sales capacity. For a deeper look at the outbound side, our implementation team covers outbound lead generation builds in more detail.

Questions about lead generation for small business

What is the best lead generation strategy for a small business?
Start with the demand you already have: answer inbound enquiries within minutes, complete your Google Business Profile and track which channels bring real conversations. Then add targeted outbound to a well-defined list, with a person handling every reply.
Is cold email legal for small businesses?
In the US, commercial email is allowed if it follows CAN-SPAM, including a truthful subject line, a physical postal address and an opt-out honored within 10 business days. There is no exemption for business-to-business email. This is not legal advice.
What does AI do in AI lead generation?
AI researches companies, checks them against your criteria, finds the right contacts and drafts personalized first messages. People review the drafts, read and answer every reply, and run the meetings.
Do you automate LinkedIn outreach?
No. LinkedIn does not permit bots or tools that automate activity on its site. We draft messages and connection notes, and a person sends them by hand.
Do you offer appointment setting?
Yes. Qualified replies are booked into your calendar through a scheduling link, the CRM is updated, and quiet leads get human-reviewed follow-ups. We do not make cold calls with AI voices.
How much do lead generation services cost?
Sopro's benchmarks put the average B2B cost per lead around $198 to $200, varying widely by industry and channel. We quote a fixed monthly fee after a free review of your market and current lead flow.
